Business Assistant

Overview:

A highly creative and entrepreneurial design-build studio is looking for a flexible and collaborative Business Office Assistant who loves process, details, and creating order!

 

You would be joining a 20+ member firm within a supportive environment and be working alongside, taking work from, and being mentored by the head of corporate resources.

 

Responsibilities:

  • Accounts Payable (A/P) entry (main focus)

-Data entry and invoice coding for multiple company entities and in multiple accounting systems

-General bookkeeping duties

-Maintain and update compliance documentation:​

*Insurance COIs

*W9s

*Contracts and Subcontracts

*Affidavits

*Lien releases

*Vendor Account Applications

  • Accounts Receivable (A/R) assistance

  • Payroll reporting and review

  • Human Resources policy and compliance assistance

  • Other tasks as assigned by supervisor

 

Qualifications:

  • We’re looking for an organized self-starting, quick-learner; someone who is “process-minded.”

  • QuickBooks experience (Desktop and/or QBO) is required for this role.

  • A high school diploma at minimum is required.  We value experience.  A degree is welcome.  Previous Accounts Payable/Receivable experience and mathematical knowledge are what we are looking for!

  • Proficient in basic MS Office applications (Word, Excel, Outlook, and Teams)

  • Experience with any of the following also will score points with us:

-Knowledge of AIA Contracts and documents (ACD5) software

-MavenLink & T-Sheets software

-HR knowledge and experience

-Adobe and/or graphic design software

  • Experience working in the Architecture and/or Construction industry a plus!

 

Physical & Other Requirements:

  • Constantly operates a computer and other office equipment.

  • Visually identifies, observes, and assesses.

  • Frequent verbal communications with colleagues.

  • Frequently remains in a stationary position (standing and/or sitting).

  • Occasionally moves to accomplish tasks and/or to get from one worksite to another.

  • Occasionally moves common office materials (able to lift 10 lbs over head).

  • Must have reliable transportation to be at work.

Other Details:

  • Full-time / 40 hour work week in office (Monday-Friday)

-(COVID-19 considerations: a small number work in the office presently)

  • No travel outside of OKC area

  • Business casual work attire
